Reporting Attendance of Financial Aid Recipients

Policy

The College is required by the Federal Government to have in place a method to determine the last date that a student received Title IV funding was in attendance, whether or not the student "officially" withdrew from classes. For the purposes of this policy, Title IV funding refers to Pell Grant, Supplemental Educational Opportunity Grant, Federal Work-Study, Perkins Loan, Stafford Loan, and Parent Loan to Undergraduate Students.

Procedure

The following procedure is intended to facilitate the maintaining and reporting of the record of attendance for such students.
  1. Title IV recipients will be designated with a "Y" in the attendance column on the class rosters.
  2. Instructors will need to provide a last date of attendance for any Title IV student who stops attending classes. This information is required on the Withdrawal From Classes form utilized by faculty or students for withdrawal purposes.

Instructors of independent study or telecourses must be able to monitor progress and provide a last date of contact on the Withdrawal From Classes form as well.

  1. Withdrawal From Classes forms are sent to the Registrar's Office within five working days of completion of the form. The Registrar's Office will enter the attendance data into the records system of the College.
  2. Students who officially withdraw after census date are required to pick up a Total Withdrawal form from the Registrar's Office. Each instructor must sign the form and provide a last date of attendance. The student returns the completed form to the Registrar's Office immediately upon completion of the form. The Registrar's office will then enter the data into the records system of the College.
  3. The Office of Financial Aid will run the necessary programs at least twice during a term to ascertain which students are within the Prorata or Federal refund period, which loan recipients have reduced their enrollment to less than half-time, and which students fall within the repayment policies of the institution. The Office of Financial Aid will take, or initiate in conjunction with the Accounting Office, the appropriate actions to comply with Federal and State reporting requirements.
