MCC AQIP Project #2: Enrollment Management

We reviewed the last Enrollment Management Plan.  Members of the Enrollment Management Team were given specific parts of the old plan to revise.  New data statistics will be coming from Janie to be incorporated into our working copy.  Mary Zorn’s Marketing Plan will be incorporated into the Enrollment Management Plan. 

At our next meeting we will start creating a new Enrollment Management Plan.  We will meet again on Wednesday, 11/17/04 at 3:00 P.M.

MCC AQIP Project #3: Data Collection and Sharing

Meeting Notes November 8, 2004

Members present:          April Amack, Kent Bauer, Susan Clough, Suzanna Dobbins, Don Estes, Barb Frihauf, Jan Garcia, Jo Ann Kennedy, Carol Kuper (chair), Kelly Overturf, Shirley Penn, and Valerie Rhoades (via conference call).

1.  Carol began the meeting by passing out the agenda and copies of MCC’s “AQIP Action Projects Annual Report” (dated September 14, 2004).

2.  Carol reviewed the direction the team is going in based on discussions at the last two meetings held on September 20 and October 4, 2004.

At the September 20th meeting, Dr. Michele Haney and Mary Zorn visited with the team and presented their needs for the collection of some specific information (see minutes from 9/20/04). The team is now taking on their requests for data, one project at a time.

Project #1:  Standardization of MCC’s “prospective student” information gathering efforts, both print and online versions. (In previous meetings, this information has also been referred to as “inquiry cards”, “enrollment cards” and “recruitment cards”.)

The goals are to standardize these information gathering forms, to make sure MCC is gathering the information we need, and to request the same information on MCC’s website.

At the October 4th meeting, a sub-team was formed with Kim Ewertz, Jan Garcia and Jo Ann Kennedy (Sally Hall from Student Services was later added to this group) to review the inquiry cards in use and make sure information gathering efforts were consistent.

Jo Ann and Mary Zorn reviewed the current “inquiry card” and Mary is deciding what she wants to include. Jo Ann will visit with Mary this week to find out what she has decided.

This information will also need to go to Barbara Cullop to place on MCC’s website.

Carol asked the sub-team to report their results at the team’s December 6th meeting.

3.  Carol asked the team to review Dr. Haney’s other requests for information and chose another project.

The team discussed Dr. Haney’s request for information about “penetration rates” along with the following questions:

  • How many high school graduates enroll at MCC?

  • How many high school students are concurrently enrolled?

  • Where are these students coming from?

  • How well are they doing?

  • How many high school graduates entering MCC need remediation?

This information will also help MCC decide where to place our marketing efforts.

Kent has some of this data.

Project #2High school graduates enrolling at MCC who need remediation.

Jan said there is a focus report available that:

Lists the high school graduates who have enrolled at MCC, and
Where they graduated from and the year.

Team decided we should only look at those who have graduated within the last two years.

Team decided we also need to include GED graduates, within the last two years.

For example, Dr. Haney would like to know how many high school graduates entered MCC, by high school, by graduation year, and what percentage required remediation as determined by Accuplacer test scores.

Sub-team of Valerie Rhoades and April Amack was formed to work on this. They will talk to Janie about preparing a focus report, and if possible report the results at the team’s December 6th meeting.

Project #3:  Penetration rates by county and by city (i.e., where do MCC students come from?).

Kent said this information is available.

Susan Clough has a NCHEMS report, but she was not certain what is in it or how helpful it would be.

Team decided to ask Janie to pull this information together, going back at least three years, with five years preferable.

The sub-team of Valerie and April will talk to Janie about preparing this focus report as well, and if possible report the results at the team’s December 6th meeting

        Project#4:  Class Schedule mailing penetration rates.

Mary has information about how many “mailers” were sent out by zip code.

Cathy Nix has how many students enrolled from each zip code.

We need to match the information from Mary and Cathy.

Probably want to gather information term-by-term, going back two years.

Janie will need to run this focus report as well.

Carol asked the sub-team of Valerie and April to request that Janie run all three focus reports (see projects # 2, 3 and 4), if possible in time for the team’s December 6th meeting.

4.  Dr. Haney also wants information about how well MCC is utilizing our classrooms.

Susan Clough is working on a “classroom utilization study/report” for the MLT; therefore Carol suggested that the team take this project off our task list for now.

The MLT is looking at MCC’s classroom utilization over the past five years. Janie is pulling the data, starting with the Fort Morgan campus.

Susan shared that early indications are that MCC’s utilization rate is about 30-40%, while CCHE’s classroom utilization standard is around 60-66%.

Susan also commented that the majority of MCC’s classes are scheduled from 8AM – 12 PM.

Another utilization measure in use is “square footage per student”.

Shirley Penn shared that her “working adult” students have trouble getting the classes they need with their shift work schedules.

Shirley estimates about 30-50% of MCC’s students would be classified as “working adults”.

Team discussed the need for a two-year rotation of classes to help students to reach their academic goals.

Valerie said that the Burlington Center has tried to implement a two-year rotation of classes so that students can complete a degree program in that time period.

Carol suggested that the team defer to the MLT’s study and set the classroom utilization issue aside for the time being. 

5.  Another issue discussed at the meeting with Dr. Haney was “what is student success?”.

      (see minutes from 9/20/04)

For example: How does MCC define student success? How do we measure it? How should we measure it?

Carol suggested that the team address the “student success” issue at a future meeting.

6.  Susan asked about the results from the “Weekend/Weeknight College” committee meetings held to study this issue (from late fall 2003 to early spring 2004 semesters).

It appears that after the “summer break” and Tom Lehman’s tenure as interim dean of instruction ended, that this committee has not met again.

Susan indicated that she would look into resurrecting this project.

Next Meeting:                        December 6, 2004 from 12:30 – 1:30 PM    
No meeting in January 2005.
